Key Responsibilities in Medical Office Management

• Oversee day-to-day clinical operations to ensure smooth, efficient, and compliant workflows.
• Manage and schedule all staff across front office, medical/clinical, and support roles.
• Drive community outreach via education and awareness campaigns, health fair and local events, lunch-and-learn etc. and be the face of the clinic.
• Build local business partnerships and expand patient enrollments via medical & wellness referrals. 
• Supervise and mentor administrative and clinical team members, fostering a collaborative, high-performing environment.
• Monitor patient intake, appointment flow, and patient satisfaction, taking initiative to resolve issues and improve the patient experience.
• Handle procurement and inventory of medical and office supplies by conducting regular inventory checks and placing timely orders.
• Maintain compliance with healthcare regulations and company policies, including regular review of EMR documentation and medical records.
• Coordinate insurance credentialing and oversee billing processes, ensuring accurate and timely submission of claims.
• Collaborate with medical staff to implement new programs, products, and clinical initiatives.
• Prepare, review, and analyze performance metrics, clinical KPIs, and patient reports for ongoing process improvement.
• Support staff training, onboarding, and participate in ongoing professional development programs.

Patient Care and Team Leadership Experience Required

• Build and promote a positive, welcoming clinic atmosphere for patients and staff.
• Respond promptly to patient concerns, feedback, and escalations, ensuring a high standard of customer service is maintained.
• Participate in team meetings, contribute to strategic planning, and drive initiatives to improve workflow and patient outcomes.
• Collaborate with providers for regulatory adherence and program compliance.

Qualifications and Skills: Practice Manager / Medical Operations Manager

• Associate's or Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or a related field (required).
• Minimum 2 years experience in a medical office management or healthcare operations role (required).
• Strong working knowledge of EMR/EHR systems and healthcare regulatory requirements.
• Hands-on experience with patient scheduling, billing, and insurance verification.
• Excellent communication, organizational, and interpersonal skills.
• Demonstrated leadership abilities; experience supervising or managing a team in a healthcare setting.
• Dedication to mentoring, development, and inclusive leadership.
• Ability to prioritize, multi-task, and adapt to evolving clinic needs.
• Bilingual skills (Spanish) a plus.
• Medical Assistant or Healthcare Manager Certification a plus.

Work Setting and Location

• In-person, on-site role at Medi-Weightloss clinic in Panama City Beach.
• Standard business hours with some flexibility as needed.
