Document Control & Change Management Systems Lead (Contract Role)

Location: South Houston, TX

Schedule: Full-time (first 1–2 months), transitioning to part-time (up to 20 hours/week)

Role Summary

We are seeking a highly experienced systems builder to serve as the Document Control & Change Management Systems Lead for a major capital project in the industrial sustainability space. This role is focused on designing and implementing a brand-new document control and change management system from the ground up — not maintaining or adjusting an existing platform.

This individual will lead all aspects of system architecture, tool selection, process governance, and user onboarding. While SharePoint is the likely platform, the client is open to evaluating other modern, cost-effective tools if they better serve the project’s needs. This is a highly autonomous role ideal for someone who thrives on structure, efficiency, and delivering lasting operational value.

The first 1–2 months will require a full-time, in-person presence in South Houston , followed by part-time hybrid support as the system moves into steady-state operations.

Key Responsibilities

System Design & Development

  • Lead the full design and build of a scalable document control system tailored to engineering, procurement, construction, and commissioning workflows.
  • Evaluate and select the most suitable platform (e.g., SharePoint or comparable cloud-based solutions) with an eye toward cost, functionality, and long-term maintainability.
  • Ensure the system architecture supports WBS alignment, lifecycle phase management, and user accessibility.

Change Management Framework

  • Architect a lightweight, effective change management process that integrates version tracking, traceability, and approvals across disciplines.
  • Define standard operating procedures, naming conventions, and process flows to govern documentation changes throughout the project lifecycle.
  • Collaborate with engineering and operations to ensure real-world usability and compliance.

Implementation & Training

  • Manage system rollout, including configuration, pilot testing, documentation, and training.
  • Support project teams and vendors in transitioning to the new system and maintaining compliance with standards.
  • Provide guidance on the migration of legacy files and ad hoc documentation into the new system.

Ongoing Oversight & Support

  • After the initial build and rollout, continue part-time oversight of the system’s operation, improvements, and user support.
  • Monitor system hygiene, manage updates, and ensure readiness for audits or handover milestones.

Preferred Experience & Qualifications

  • 7+ years in document control, project systems, or information/documentation management within capital project environments.
  • Demonstrated success building document control systems from scratch , including tool evaluation and hands-on implementation.
  • Strong experience in industrial, engineering, or manufacturing settings , especially with construction-related documentation and workflows.
  • Proficiency in Microsoft 365 tools, particularly SharePoint and Teams; knowledge of alternative systems like Procore, Aconex, or Autodesk Construction Cloud is a plus.
  • Confident and capable of working independently — this role will not have hands-on support during system development.
  • Experience with change management and document governance in a cross-functional team environment.

Work Structure & Expectations

  • Location: Onsite at the South Houston project office (8325 Plummer St) initially, with hybrid flexibility post-rollout.
  • Schedule: Full-time for the first 1–2 months, transitioning to part-time (up to 20 hours/week).
  • Must be available during core working hours for internal coordination.
